Two kinds of people appear in this document: the businesses that use Victorium Systems, and their clients — who never signed up with us but whose details we hold on the business's behalf.

Who we are
Victorium Systems. You can reach us at hello@victoriumsystems.com about anything in this document, including a request to see or delete what we hold.
Registered entity and postal address are pending and will be stated here before launch. Carrier registration checks them against the messaging account, so this is not a formality.
This document is with our lawyer before launch. What it describes is what the software already does; the wording may tighten.
The short version
- We never sell anything about you, to anyone, for any purpose.
- Your mobile number and your agreement to be texted are never shared with anyone, for any purpose.
- If you are a business, your client list is yours. Export it any time.
- We do not track you across other websites. There is no advertising pixel, no analytics and no session recording on this site or on a booking page.
If you booked an appointment
The business you booked with decides what to collect and why. We hold it for them. What that means in practice is your name, the mobile number you booked with, your email if you gave one, your appointments and what they cost, any notes the business writes about you, the text messages between you and the business — including the ones its automated assistant wrote — and a record of whether you agreed to receive texts, storing the exact wording you were shown and when.
Ask the business first if you want something changed or removed: it is their record. If you cannot reach them, email us and we will help.
If you run a business here
Your name and email, the business details you enter, your services, prices, hours and staff, and a log of significant changes made in your account — who changed what, and when. That log exists so a disputed change can be traced, and it is deliberately append-only.
Who else sees any of it
Only companies that run part of the service, and only what each needs to do its job:
- Supabase — the database and sign-in, hosted in the United States.
- Vercel — hosting for the site and the booking pages.
- Twilio — delivers the text messages. Receives the mobile number and the message.
- Anthropic — the model behind the assistant. Receives the conversation so it can answer, along with the business’s services, prices and availability.
The above excludes text messaging originator opt-in data and consent. This information will not be shared with any third parties. Mobile numbers collected for text messages, and the consent that goes with them, are not sold, rented, traded or shared with anyone — including for marketing, and including with other businesses that use Victorium Systems.
We also disclose information where the law requires it. Where we are permitted to tell the person affected, we will.
Whether anyone here looks at it
Two people run Victorium Systems, and they can reach the information a business keeps here. That access exists so we can answer a question like “my client never got their reminder”. It is worth being exact about what it does and does not mean.
- Your phone number and the text of your messages are hidden by default. The tools we use to support a business show whether a message was sent and whether it arrived, not what it said or who it went to.
- Seeing those details takes a deliberate step, and it is recorded. Every time one of us looks, the system writes down which of us it was, what was looked at, when, and the reason given. That record cannot be edited or deleted, including by us.
- Nobody else has this access. Not the other businesses on the platform, and not our vendors beyond what is listed above.
We do not read messages for any other purpose. Not to train anything, not to build a profile of you, and not to market to you.
How long we keep it
Different things are kept for different lengths of time, because they are kept for different reasons.
- Your name, phone number, email and appointment history — 30 days after the business leaves. When a business closes its account we give them a copy of their records, and 30 days later we delete this permanently. Any notes the business wrote about you, and the text of messages exchanged with them, go at the same time.
- Proof that you agreed to be texted — five years.This is the record that a message we sent was permitted: the exact sentence you were shown, when, and whether it was later withdrawn. Alongside it we keep the fact that a message was sent and whether it arrived. We do not keep what those messages said. Five years is the window in which a claim about a text can still be brought, and deleting this sooner would leave us unable to show that you agreed.
- If you reply STOP, that we should not text you — indefinitely. This is the one record we will not delete on request, and the reason is in your favour: it is the only thing stopping us from texting you again. It is a phone number and the fact that you opted out, nothing else.
Our change log no longer keeps your details. An earlier version of this page said edits to a record could leave personal details in a log we cannot alter or delete, and that we were working on it. That is now fixed. The log still records that a record changed, when, and by whom — it no longer stores your name, phone number, email, or anything a business wrote about you.
Your choices
Reply STOP to any text and the messages stop. Email us to ask what we hold about you, to correct it, or to have it deleted, and we will respond within 30 days. We will not treat you differently for asking.
Do Not Track and opt-out signals. There is nothing to opt out of: we do not track you across other websites, so signals such as Global Privacy Control have nothing to act on here. No other company collects information about your activity across websites through this site.
Children
This is not for under-13s and we do not knowingly collect anything from them. Where a business serves young people, the appointment should be booked by an adult using the adult’s mobile number.
Changes
If we change this we will update the date at the top. A change that affects what we do with your mobile number will be told to you directly, not just posted here.
